COVID-19 Resources for Staff
As we continue to monitor the evolving situation with the Coronavirus (COVID-19), please continue to check www.ncsu.edu/coronavirus for the most up-to-date information. Please utilize the below list of resources as you plan for the coming weeks.
Important Updates:
- The university is not technically closed, but all nonmandatory employees must work from home. If you cannot work from home, paid administrative leave has been extended through April 30, 2020 if you meet the criteria outlined in the Provost’s memo titled: Important Update: COVID-19 Special Faculty and Staff Leave Provisions.
- Per Felicia: P-card receipts must be uploaded and submitted as usual.
- The faculty/staff ombudsman will be holding a weekly open house to discuss engaging with conflict from 12 pm – 12:20 pm on Wednesdays. Participate here: https://ncsu.zoom.us/j/600172346
- Please pair people who have capacity with people who need help (such as faculty and students).
- Remember to be compassionate with students! Check in on their physical and mental well-being.

FAQs for Working Remotely
For first-line information, remember to check the university’s Coronavirus response page. All faculty and staff should work with their direct supervisor to evaluate your remote working options.

I am not able to do my job from home. What do I do?
As of March 17, all non-mandatory employees will need to work from home. We know that not everyone can do their jobs from home (ex. IT Lab, Materials Lab). These folks will get paid administrative leave through April 30, 2020. See the Chancellor’s email from March 17 and an updated memo from March 30: COVID-19 Special Faculty and Staff Leave Provisions.
How can I easily schedule Zoom meetings?
Install the Zoom Schedule Chrome extension to easily schedule Zoom meetings using your Google calendar.
How do I forward my work phone to my home phone?
Use the following products to work remotely:
Cisco Jabber – Collaborate with colleagues from your desktop, laptop, or mobile device. Includes instant messaging, presence, desktop sharing, and more.
Note: You must install the Cisco Jabber Client on every device you plan to use Cisco Jabber.
Single Number Reach – Receive your calls on another phone or your mobile device when away from the office.
How will we continue to receive mail and packages while the university is closed?
The college is receiving mail and packages several times a week. Mail will be placed in your mailboxes in the Brooks Mail Room. If you are expecting a package, please notify Joe McCoy and send any package tracking information to him, jonas_mccoy@ncsu.edu.
What if I need a desktop webcam to use in my office?
Email the College of Design IT staff at design_help@ncsu.edu with the request.
What if I do not have a laptop or desktop for home use?
Email the College of Design IT staff at design_help@ncsu.edu with the request.
Will there be IT support during this time?
At this time, IT is planning to continue work, albeit remotely.
What are the university guidelines during the pandemic?

If I am ill, how can I forward my email to a colleague?
If you are sick, you can set up a phone out of office message and Gmail out of office reply, directing people to the appropriate colleague. You can also forward Gmail automatically to a colleague, either forwarding all emails or setting up a filter to forward specific email.
How can I check my work voicemail remotely?

What leave provisions are available for non-mandatory and mandatory employees when a daycare facility or a public or private school closes due to a public health emergency?
When an agency is open but an employee, who is a parent or guardian, is required to stay home with a child (as defined in the Family and Medical Leave Act) because of the closure of a daycare facility or a public school, the employee may, with approval of the supervisor, be allowed to work at home or elect to:
- Use vacation leave.
- Use bonus leave.
- Use sick leave.
- Use compensatory leave.
- Take leave without pay.
- Makeup time in accordance with the parameters for making up time during adverse weather. However, at the discretion of the college dean or vice chancellor, make-up time could be extended to 24 months if necessary.
This also applies for eldercare.
These guidelines apply equally to SHRA or EHRA employees and whether an individual is designated as a mandatory or nonmandatory employee.
Are temporary employees and student workers permitted to work remotely?
Yes, in accordance with state policy, temporary employees and student workers are eligible to telework, with prior supervisor approval. It is imperative that temporary employees and student workers adhere to the same alternative work (telework) provisions as permanent full and part-time employees of the university.
Teleworking assignments do not change the conditions of employment or required compliance with policies and rules. Such assignments can be revoked at any time at the discretion of the university. Please refer to the university’s social distancing and alternative work guidelines for further details regarding the university’s alternative work guidelines during a public health emergency.
